Solution 06 — compliance records, live at credentialregister.com

Every compliance document on file, none slipping through.

Credential Register keeps the register of what you require from vendors, contractors and suppliers — insurance certificates, licences, tax forms, bonds, your own custom types — and warns you before any of it expires. It records facts, dates and your team's decisions. It never invents a verdict.

What it keeps

The register your vendors will not hate

Most businesses track this in a spreadsheet and an inbox, and find out a certificate lapsed when someone asks for it. The register replaces both — and asks nothing of the vendor that it cannot make easy.

Your document types, your checklists

Requirement sets per vendor category, built from a library of common types or defined from scratch with your own fields. Status is computed from what is on file, never typed in.

Reminders before the lapse

Expiry reminders go to the vendor on the cadence you set, with an escalation digest to your own staff. Nothing is sent twice, and nothing goes out on a date you did not choose.

Reviews with a name on them

Approve, reject or ask for more, with a mandatory note, the reviewer's name and the time. The history is append-only: who decided what, and why, is never lost.

A free portal for every vendor

Vendors catalogue their credentials once and share them with every customer who asks, through links they can revoke. The businesses that hire them pay for the tracking workspace; the vendor never does.

One desk over many companies

Agencies, franchisors and associations get an umbrella view across member companies, with umbrella certificates that cover every member by reference instead of by copy.

Reports, and a way out

CSV reports for the questions people actually ask, and a complete export of the register — files and index included. Your records leave with you whenever you say so.

Spreadsheet vs. register

What changes when it is a system of record

The spreadsheet

  • Expiry dates nobody re-checks until it matters
  • Certificates chased by email and filed in inboxes
  • Who approved it, and why, is lost by next quarter
  • Every worker and every site holds its own copy

Credential Register

  • Reminders go out ahead of the date, on their own
  • Uploads land against the requirement they satisfy
  • Every decision carries a name, a note and a time
  • Shared once, and projected wherever it is required

The stance

Facts, dates and decisions — never a verdict

The platform never says a document is valid or a vendor is compliant. It shows what is on file, when it expires, and what your team decided — and, if you want one, a named provider's result. No scoring, no automated reading of documents, no "verified" badge it invented.

That is not a hedge; it is the product. A tool that quietly turns a record into a judgment is one you cannot stand behind when the question comes — and compliance is the domain where the question always comes.

  • Status computed from the records at read time, never stored as a judgment
  • Nothing is ever claimed on your behalf
  • A record is only ever erased by someone choosing to erase it

Credential Register

Stop chasing certificates by email.

A free plan is enough to build the first checklist; paid plans grow from there, up to a workspace on your own domain. Set it up at credentialregister.com, or ask us where it fits your business first.
